THE SIMPLE ACCOUNTING SYSTEM V4.0 5/26/84
FEATURES
This is a double-entry system, suitable for home or small business.
There are no practical limits on the number of accounts or entries.
Accounts are called by name. You don't have to memorize numbers.
Fast, full-screen, entry.
Keeps multiple sets of books (e.g. rental property, sideline business).
Automatic recurring entries and depreciation entries.
Yearly reports (balance sheet & trial balance).
Monthly report (P&L).
Budget vs. actual (YTD), presented in numbers and graphically.
Reports can be run for any month at any time.
Entries can be posted to any month.
Effects a clean cutoff. No need to withhold entries until closing.
Keeps a complete audit trail.
Without it you have an adding machine, not an accounting system.
Financial decisions module computes payments, interest rate (ROI),
present value and prints amortization schedules. Can handle irregular
payment schedule with mixed inflows and outflows (yours probably can't).
Does not require knowledge of accounting. On the other hand does not
pander to the least common denominator like many other "home" systems.
You can just automate your checkbook (it has a panel specifically
for that) and progress as you learn.
Basically, if you don't know accounting the system will teach you.
JUSTIFICATION
"Why do I need to keep a set of books at home?"
..It lets you spot overspending trends in time enough to do something
about them.
..If there is more than one in your household, it tells you WHO is
off track (assuming you set up your chart of accounts that way).
In business it's called accountability; at home it's called
staying married.
..It makes your income tax return accurate and auditable.
..When you are thinking about how it's going, it focuses your attention
on the real measure --- net worth --- not how much money is in the
bank. Every month you are forced to look at your change in net worth.
..Because it's right. You wouldn`t think of running a business without
records. Why not? The same answers apply to your personal affairs.
INSTRUCTIONS
Requires 128K, one disk and an editor.
Printer can be used but not required.
Files GL.MT, GLMAST.DAT and GLJRNL.DAT are a demo set of books.
You should practice with them first to get the hang of it. Try making
a few entries to 1/84 and close the period. When you're ready,
build your own GL.MT, delete the two .DAT files and start making
your entries. Operation of must functions should be obvious.
Here are a few that may not be:
When making journal entries, don't hit the enter key (Cr) until
you think you have it right. Use tab or cursor arrows to move
around the screen. If you forgot the account name, enter an
invalid name and use the help screen. Note how the entry panel
supports End, Home, Ins, Del, and space (in a numeric field).
To enter your budget, use a description of BUDGET (must be in
upper case), put the account in debit and leave credit blank
(the credit always goes to PROFIT). Note that the period can
be from/thru so if you have he same budget every month specify
1-12. Don't forget to put a minus sign for credits (income,
sales, etc.).
In order to use an account for Checkbook Entries, the first
four letters of its short name must be CASH....
Do setup an account 0 called WORK and use it as the other side of
one-legged entries.
MISSING FEATURES
I am considering these enhancements for version 5.
I don't need them for my own books, but I'll make them if there
is sufficient interest.
..Bank reconciliation (I don't have any trouble doing it manually).
..Consolidated statements with automatic eliminations.
..Reversing entries (estimates or "book the budget").
..Fancier printed reports.
..More flexibility on periods. 4-4-5 or 13 period systems.
Option to lock out prior period entries.
Isolating audit adjustments and other end of year entries.
..Input from other computer systems.
